For payroll compliance (annually licensed)
Any additional information needed for a particular jurisdiction's tax forms is entered in the appropriate Additional Information dialog. To view information about the fields in the Additional information dialog for each jurisdiction, click the links below.
Choose Setup > Clients, click the Payroll Taxes tab and, in the Forms section, click the Additional Information button associated with the jurisdiction.
Choose Actions > Edit Payroll Tax Forms, select the client and the jurisdiction, and then click the Additional Information button.
Federal 94x
Fractions of cents limit. By default, 94x forms will automatically calculate fractions of cents. Use this field to specify the threshold amount for the calculation. If nothing is entered here, the default threshold amount of $0.99 will be used.
Third-party designee. Select a third party designee from the drop-down list if appropriate. The list contains the names of all staff members specified as a payroll form preparer and with a third party designee PIN entered in the Preparer Information section of the Main tab of the Staff screen.
Ignore deposit threshold when calculating line 16. When this checkbox is marked, the application never marks the first checkbox for Form 941 Line 16 for this client. Rather, the second checkbox (for monthly depositors) or third checkbox (for semiweekly depositors) is marked based on the deposit schedule selected for the client.
Special filing address. By default, filing instructions generated for 94x forms use the filing address appropriate to the state in which the client is based. When this checkbox is marked, the filing instructions will use the special filing address instead.
Choose how you want to handle an overpayment. When you click either the Refund option or the Apply to next return option, that will display on the form when there is an overpayment.
Business name control. Enter or modify the business control name, usually the first four non-space characters in the client's payroll name.
Reporting agent. Mark this checkbox to designate the reporting method for 94x electronic filing as Reporting Agent for this client. The Reporting agent PIN entered in the Transmission Information dialog in the Process Electronic Forms screen will be used.
Final Statement button. If this is the client's final return, click this button to open the Final Statement dialog, where you can enter information about the type of final return and any new business information.
Taxpayer. Select a taxpayer from the drop-down list, if appropriate. The name, phone number, and other pertinent information entered for the selected contact will be used to complete the form(s). To omit the taxpayer signature date from the form, mark the Suppress date checkbox.
Note: The selections available in the Taxpayer drop-down list are:
- contacts of the client that are set up in the Additional Contacts dialog and have the Payroll signer checkbox marked.
- Reporting Agent, if a contact of the firm has been set up in the Additional Contacts dialog and has the Reporting agent checkbox marked.
Taxpayer signature image. This area displays the taxpayer signature image that will appear in the Taxpayer signature area on the form. Click the Ellipsis button to open the Insert Image - Signature dialog, where you can browse to and insert a signature image into the database, or remove a signature image that you have already inserted. Valid image formats are BMP, PNG, or JPG files.
Preparer. Select a preparer from the drop-down list, if appropriate. The name, phone number, and other pertinent information entered for the selected staff member will be used to complete the form(s). To omit the preparer signature date from the form, mark the Suppress date checkbox.
Notes
- The names available in the Preparer drop-down list are staff members that have the Payroll form preparer checkbox marked in the Main tab of the Setup > Firm Information > Staff screen. Only one Firm Contact can be designated as the reporting agent.
- To include only the firm information in the Preparer section of the form(s), select Firm from the drop-down list.
Federal W-2
Other EIN. Enter another EIN, if applicable.
Signature. Select a client additional contact from the drop-down list. The list contains all client additional contacts that are specified as a payroll form signer for this client and also the contact that is set up as the reporting agent in the Additional Contacts dialog accessed from the Setup > Firm Information > Firm screen. To omit the signature date from the form, mark the Suppress date checkbox.
Contact. Select a contact from the drop-down list if appropriate. The list contains the following.
- All staff members specified as a payroll form preparer in the Preparer Information section of the Main tab of the Staff screen.
- All additional contacts for the client that are specified as payroll form signers.
- Reporting Agent, if a contact of the firm has been set up in the Additional Contacts dialog and has the Reporting agent checkbox marked.
To include only the firm information in the Contact section of the form(s), select Firm from the drop-down list.
Federal 1095-C
Taxpayer. Select a taxpayer from the drop-down list, if appropriate. The title entered for the selected contact will be used in the signature area of form 1094-C Part II. To omit the taxpayer signature date from the form, mark the Suppress date checkbox.
Note: The names available in the Taxpayer drop-down list are:
- contacts of the client that are set up in the Additional Contacts dialog and have the Payroll signer checkbox marked.
- a contact of the firm that is set up in the Additional Contacts dialog and has the Reporting agent checkbox marked.
Contact. Select a contact from the drop-down list if appropriate. The list contains the following.
- All staff members specified as a payroll form preparer in the Preparer Information section of the Main tab of the Staff screen.
- All additional contacts for the client that are specified as payroll form signers.
- Reporting Agent, if a contact of the firm has been set up in the Additional Contacts dialog and has the Reporting agent checkbox marked.
The checkboxes in this section correspond with the checkboxes in Box 22 from form 1094-C.

Federal 1099
Use client printing threshold. Mark this checkbox to enable the Threshold amount field, in which you can enter a client-specific printing threshold amount.
Threshold amount. If there is a threshold amount below which you do not want to print 1099s for this specific client, enter that amount here. This client-specific threshold amount will override any entry in the Printing threshold amount set in the 1099 Print Options dialog.
Send 1099-NEC to Employee Self-Service.
If your firm uses the Employee Self-Service feature, mark this checkbox to have the application send an electronic copy of the 1099-NEC form to the Employee Self-Service portal of independent contractor employees when you print recipient copies of the form for this client, so you can avoid processing the 1099 forms a second time.
Note: The electronic copy of the 1099-NEC form will not be sent to Employee Self-Service when only Copy A is selected for processing.
Send 1099-NEC to WorkforceHub.
If your firm uses the WorkforceHUB integration, mark this checkbox to have the application send an electronic copy of the 1099-NEC form to the WorkforceHUB portal for independent contractor employees when you print recipient copies of the form for this client, so you can avoid processing the 1099 forms a second time.
Note: The electronic copy of the 1099-NEC form will not be sent to WorkforceHUB when only Copy A is selected for processing.
Signature. Select a client additional contact from the drop-down list. The list contains all client additional contacts that are specified as a payroll form signer for this client. To omit the signature date from the form, mark the Suppress date checkbox.

- All staff members specified as a payroll form preparer in the Preparer Information section of the Main tab of the Staff screen.
- All additional contacts for the client that are specified as payroll form signers.

To include only the firm information in the Contact section of the form(s), select Firm from the drop-down list.
State forms
The fields in the Additional Information dialog vary depending on the state. Click the state link in the table below to view the fields specific to that state as well as any state-specific additional information.
Note that the Signature Area section for each state contains either a Taxpayer field, a Preparer field, or both.
