- If you just installed UltraTax CS for the first time, complete the tasks listed below (as applicable) to configure application settings for your firm. After you've completed the configuration, you will use the proforma utility to import any client data converted from another tax application into UltraTax CS.
- If your firm used UltraTax CS last year and has renewed its licenses for this year, see Configuring UltraTax CS as a returning user for an overview of the applicable setup tasks.
Initial setup tasks
Before you begin processing returns, complete the tasks below in the order specified.
- Enter your firm's EIN and contact information: Enter your firm's EIN, phone number, and fax number in UltraTax CS.
- Create profiles for your preparers: Enter each preparer's name, contact information, PTIN, third-party designee, and other information.
- Create profiles for staff members (if applicable): If desired, enter each staff member's name and email address.
- Determine security settings: UltraTax CS offers both standard security settings (using a master password) and advanced security settings, which, in addition to the master password, enable you to create user groups and assign specific permissions to each group or to individual users.
- Configure data locations: You can set up more than one location for storing client data, which may be helpful if your firm has multiple offices or staff working remotely.
- Configure entity-specific settings: Set options or customize information related to federal and state returns, such as invoice prices, client documents, print collations, an so on.
- Configure your firm's electronic filing information: To comply with federal e-filing regulations, enter your firm's EFIN for use in filing returns electronically this year.
- Proforma converted client data: If you converted from another tax application, use the proforma utility to import your converted client data into the current-year version of UltraTax CS.
Configuring optional UltraTax CS features
The following tasks can help improve your firm's workflow and add efficiency to the return preparation process.
- Verify CS Connect options: CS Connect is configured to automatically download and apply application updates. You can choose when updates are applied and whether or not you want CS Connect to download electronic filing acknowledgments.
- Create and assign default user preferences: Set up a template of common user preference settings that is applied to all UltraTax CS users in your firm.
- Configure custom status events: Track the progress of your client's returns in UltraTax CS by creating customized status events to suit your firm's workflow.
- Determine appearance of printed returns and other output: You can customize options related to printing returns, extensions, client documents, and more.
- Mask Social Security Numbers on 1040 returns: If you prepare returns for clients doing business overseas, you can hide your client's Social Security Numbers on all tax return documents by enabling SSN masking.
- Set options for backing up client data to FileCabinet CS, if you are licensed for that application and have it installed.
